dispatchdesk.io ("DispatchDesk", "we") is a dispatch and communications platform — assistance for all your personal and business needs. This policy explains what we collect, how we use it, and the controls you have. Service is currently offered in the United States only.

1. Information we collect

Account information you provide at signup — business name, contact phone, email, configuration choices.
Connected accounts (where you link one): you sign in directly with that provider — we never see your password — and we receive only the data the provider's consent screen grants.
Operational records created when the platform handles your work: service requests, dispatch attempts, quotes, job reports, call records and transcripts on your dedicated number.
Basic device/browser info on access (user agent, language, referrer, IP, coarse client hints) for security and setup.
Website inquiries submitted on our forms, stored with a retention time limit and deleted on schedule.

2. Calls and recordings — who the caller is

DispatchDesk operates two kinds of calling, and your data role differs by kind:

Your calls (your number): when you use the platform to place or receive calls on your own dedicated number, you are the caller of record and the owner of consent decisions for those calls. Every AI call leg carries a built-in, non-removable disclosure that the caller is an AI assistant and that the call is recorded. Recordings and transcripts belong to your account, are retained on a time limit, and are visible only to your account and platform administration.
Our calls: when DispatchDesk management initiates a business-to-business inquiry, DispatchDesk is the caller of record and applies its own calling hygiene, including honoring our internal do-not-call suppression list.

Anyone can ask us to stop platform-originated calls to their number; suppression requests are honored across all accounts.

3. How we use information

To run your dispatch desk, route requests to service providers, generate in-portal reports, meter usage for billing, secure the service, and maintain legally required records. We do not sell your personal information.

4. Sharing

We share information only as needed to deliver the service (a dispatched provider sees the job details required to do the work) and with infrastructure subprocessors (hosting, telephony, payments) under contract. We disclose information if required by law.

5. Data deletion & your rights — in your portal

You can request deletion of your account and associated data directly from your portal: open your client portal and use the "Data & privacy" section to submit a deletion request. The request is recorded immediately and processed by our operations team; you can see its status in the same portal section. You can also disconnect any connected account at any time from that provider's settings.

6. Retention & security

We keep information only as long as needed to provide the service or as required by law. Website inquiries and call recordings carry retention time limits and are deleted on schedule. Data is protected with encryption in transit, tenant isolation at the database layer (row-level security), and access controls. Our current security posture is described honestly on our security page.

7. Territory

The service is offered in the United States only. Signup requires a US (+1) phone number, and we do not offer the service in, or direct it to, the European Union or other territories at this time.
